The basics
What is a Salary Certificate?
A salary certificate is a letter issued by an employer confirming that a person works for the organisation and stating what they are paid. It usually shows the employee's name, designation, date of joining, and a breakup of monthly or annual pay: basic salary, allowances such as HRA, deductions such as PF and professional tax, and the net amount credited.
Employees ask for a salary certificate when a bank or NBFC processes a loan or credit card, when an embassy reviews a visa application, when a landlord checks a prospective tenant, or when an educational institution or government office needs proof of income. Unlike a salary slip, which is generated every month by payroll, a salary certificate is a one-off letter addressed to a specific purpose and signed by an authorised person in HR or finance.

Common mistakes to avoid
What goes wrong when salary certificates are signed the traditional way.
Mixing up gross and net salary, which delays loan approvals when figures do not match salary slips
Signing by someone who is not authorised to certify pay
Leaving out the date of joining, which banks use to check job stability
Using an old salary figure after an increment
Sending an unsigned Word file that the recipient cannot verify
Legally valid under Indian law
A salary certificate is an ordinary letter from the employer and is eligible for Aadhaar eSign under Section 3A of the IT Act 2000. It does not need stamp paper, notarisation or registration. The signature should come from a person authorised to make statements about pay, such as an HR head, finance manager or director, and the certificate should be on the company letterhead. Some banks and embassies have their own format or ask for the certificate to be addressed to them by name, so check the receiving party's requirements before issuing. Salary details are personal information, so share the signed PDF only with the employee or the party they nominate.
